Offline mode for the Crew App

Basements, garages, dead zones — tasks and photos sync the moment the signal returns. The crew app keeps the round, the guides and the evidence on the device, so a lost signal never turns into a missing record or a cleaner waiting for a page to load.

MCP server for AI agents

Claaro speaks the Model Context Protocol, so the AI assistant your company already uses can read its operational data and act on it — inside your permissions, not around them. Ask an agent about last week's SLA breaches or have it raise an extra-work order, without anyone building an integration first.

Robocleaning integration

Autonomous cleaning robots join Claaro as regular crew members — tasks, status and anomalies land in the same FM dashboard. You plan a robot's route the way you plan a person's round, and when it stops mid-shift the alert reaches the same manager, through the same channel, as a missed cleaning.

Predictive staffing

Forecast demand per site and shift, so you staff to reality instead of last year's contract. Claaro reads your own history — seasons, incident volume, how long a round actually takes — and proposes the headcount each building needs, which you accept or override before the plan goes out.

Consumables and inventory

Track stock per building, reorder from real consumption, and stop the emergency supply runs. Consumables are logged where they are used, so you see which sites burn through what, and the reorder point comes from measured usage instead of a guess in the warehouse.

Payroll and ERP connectors

Push verified hours and approved extra work straight into the systems you already run. Payroll gets check-in data it can trust, your ERP gets the billable items with their evidence attached, and nobody retypes a timesheet at the end of the month.

SLA breach detection and penalty reports

Late starts, missed cleanings, poor ratings and unanswered incidents are caught automatically, with a penalty PDF ready for the claim. The contract's own thresholds are evaluated continuously, so a breach is visible while you can still fix it, not at the quarterly review.

Client-ordered extra work

Clients order from a price catalogue you control, and approve or reject what you propose. Everything is documented before it is invoiced. Window cleaning, a carpet extraction, an extra round after an event — the order, the price and the completed work stay attached to each other.

Structured communication threads

Incidents, requests and answers live in one thread per topic. Nothing gets lost in e-mail, WhatsApp or a phone call. Everyone with access sees the same history, and a question asked in the evening is still there — with its answer — when the next shift starts.

A contract PIN lets anyone on site log a cleaning or report a problem by phone, and get the location instructions back by SMS. No account, no app, no onboarding — enough for a subcontractor or a one-off stand-in to work inside the same records as everyone else.

Start and stop tasks with a voice call from any phone. No app, no smartphone required. The system recognises the caller's number, reads the round back in their language and records the check-in — for crews without a company device, this is the whole workflow.

White-label and multi-language

Inspections and quality audits

The QR scan is matched against the site's real coordinates. Warn or block, set per contract. Codes photographed once and scanned from home stop working, and the strictness is yours to choose per client rather than a platform-wide rule.

Quality rating and feedback

Detailed scoring for every spot, with client feedback routed straight to the responsible team. Scores are kept per place and per rating area rather than as one number for the building, so a recurring problem shows up as a pattern instead of a complaint.

Extra work approvals

Approve requests with one tap, photo evidence already attached. No invoice surprises. The request is raised on site while the crew is still standing in front of the work, and what you approve is exactly what appears on the invoice, with its documentation.

Define what off-plan means for each site and hear about it before your client does. Late start, no check-in at all, a rating under your threshold, an incident nobody answered — each rule is set per contract and routed to the person who can actually fix it.

Substitutions and stand-ins

A stand-in is assigned to the absent person's shift without a single phone call, and newcomers get up to speed faster. The replacement inherits the round with its schedule and its location guides, so the client sees the same work done, not a gap.

Schedule windows and recurrence

Every activity and place gets its own time window and repeat rule, down to every-N-weeks cycles. Daily offices, stairwells twice a week, a window clean every six weeks — the plan holds all of it, and reporting knows what should have happened when.

Location guides

Per-location, per-task instructions with photo requirements, so quality never depends on who showed up. A stand-in or a new hire opens the place and sees what to do, what to use and what to photograph — the same standard the regular crew works to.

QR check-in and check-out

Verifiable proof that the right person was in the right place at the right time. Each place carries its own code; the scan stamps who, where and when, and that record is what reporting, payroll and any client dispute are settled from.

Real-time operations dashboard

Every building, every worker and every shift in one live view. Started, running, finished, off-plan — the state of the day without a phone call, and one click from a tile to the detail of what happened at that site.

Event reporting and escalation

Problems and extra work reported on the spot and escalated instantly to the right person. A photo, a category and a note from the phone in the cleaner's hand, and the manager knows about the broken dispenser before the building's tenants start writing e-mails.

Shift plans and absences

Every shift planned per location, with absences and their reasons tracked in the same place. Holiday, sickness and time off sit next to the plan they affect, so a gap is visible while there is still time to cover it.
